Information we use

We use information you provide in enquiries and client work, such as your name, contact details, business information, instructions, access permissions, content and project records. Workspace features also use account, approval, delivery and service-usage records. Connected platforms supply the information needed for the features you authorise.

Do not put patient records, clinical notes or sensitive personal information into general marketing forms, help requests or AI prompts. Any work that needs sensitive information requires a separately agreed and appropriate handling process.

Why we use it

We use information to respond to enquiries, prepare and deliver agreed work, manage client access, record approvals, issue invoices, troubleshoot services and communicate with you. We do not sell your personal information.

Service providers and AI

The service uses providers for hosting, authentication, storage, communications, content and connected accounts. These include Vercel, Supabase, Resend, Notion and publishing connections such as Zernio where the relevant feature is used. AI requests use the provider configured for that business, including providers reached through Vercel AI Gateway or a business’s own compatible connection.

Information sent to a provider is subject to that provider’s terms and the applicable account arrangement. We do not promise that every AI provider has zero retention. Some providers process information overseas. Ask us to confirm the provider and handling arrangement before giving us material that needs a particular restriction.

Access, security and retention

Access controls restrict client work to authorised users, and service credentials are kept on the server. Technical controls reduce risk but are not a promise that no incident can occur. We retain operational records as needed for the service, agreed work and applicable obligations; retention can differ by record and provider. Disconnecting an account or ending a service does not necessarily delete every record immediately.

Your requests and complaints

Contact office@blackhealthintelligence.com to ask about your information, seek access or correction, request deletion, or raise a privacy concern. We assess requests against identity, access and applicable retention obligations. You can also contact the Office of the Australian Information Commissioner.

Provider reference

For example, Anthropic’s commercial retention guidance describes its general API retention and exceptions. The arrangement actually used for your work still needs to be checked; that guidance is not a blanket promise about every NRS connection.
